How To - Searching for an Existing Customer or Reservation


The search function allows you to search for existing customers and customers with active reservations using their surname or telephone number.

As customer information including preferences and customer notes are retained, this can speed up the process of adding a customer to your wait list.

Customers will only be searchable if their email address or telephone number was entered on a previous occasion or if they have a reservation in the future.

Search results will include all customers whose surnames begin with the search term entered, e.g. searching for Smith will return results including Smith, Smithe, and Smithsonian but not Goldsmith or Blacksmith.

To search for customer details or a future reservations:


  1. Select the Search icon .
    The search facility includes a fuzzy search on both the surname and the forename, so you can still search for a customer if you can only remember part of a name. For example, if you enter G as the first initial followed by Ta, all customers in the database with ‘G’ as a first initial and ‘Ta’ anywhere in their surname will be displayed.

  2. Enter the surname of the customer whose reservation you are trying to locate and select Search. The guests matching your search term are displayed, and if they have an upcoming reservation, a View button is provided.



  3. Select the customer’s name from the list and their information is automatically entered on the form
    or
    Select View to display a summary of all upcoming reservations that meet the search criteria.



  4. Select View alongside the reservation for which you want to see more details or edit.

  5. Close the summary box and select the search icon again to minimise the search entry field.
